Reception Halls – Picking The Right One

There are many special events that you can host more effectively and more enjoyable when you choose among the many reception halls that are available. You might consider reception halls as the perfect venue not only for wedding receptions, but for family reunions, bridal showers, baby showers, birthday parties, seasonal parties, retirement parties and other special events.  Reception halls vary in size and quality, but you can usually find a couple within your area that is ideal for hosting your event.

When you are planning your event, whether it is a wedding or wedding reception or other event, you will need to follow these guidelines in order to have a smooth experience:

Book well in advance of your event’s date.  This may sound like a given but many people will plan an event in its entirety and then expect to have the reception halls available – and often it is not. This is particularly true of particularly popular or upscale reception halls. Book at least three months in advance so that you have no problems procuring the date and time that you wish to schedule your event.  If you are planning an event at particular times of the year, however, you might want to book even farther in advance. As an example, many people choose to tie the knot during the month of June and on Valentine’s Day.  If you don’t plan far ahead, you may find that the reception halls you would like to use has been booked up for as much as a year or longer in advance.

Plan on paying a deposit on the rental of most reception halls.  Because people plan events and then end up canceling, this can lead to a problem for the owner of the hall; he might have missed out on business by booking your event and having you cancel when he could have booked it for someone who would actually keep their reservation. Although things happen, this deposit is way to recoup some of the hall owner’s losses if you do decide that you don’t want to get married, or you change the date that you need the hall. Deposits are usually around 25-50% of the cost of renting the hall, and are strictly nonrefundable in most cases.

Choose a hall that is comfortable for your guests. Check to make sure that the reception halls on your short list are not only comfortably air conditioned or heated well, depending on the time of year, but also that there is enough room for your guests to wander around the hall, for dancing, or setting up buffet or other tables.  Nothing is worse than having everyone crowded into reception halls that are too small and not air-conditioned in July.
